How to set up and manage an event or collection - Organizer

If you want to set up and manage an event or collection in Bottlebooks, this is an overview of the guides that will help you through.

If this is the first time in Bottlebooks you will have help from our team to get the correct setup. In the future, if you have the same type of events/ collection, you can copy over the setup from previous events (more information here). Probably you will have the help of one of our Project Managers, but this guide can help you with some interesting articles.

 Is it an open registration (anyone with a link can register) or do you know the exhibitors/suppliers names?


In case you don't know who will be participating/registering for your event or collection, you are all set up at this point to start collecting the product information. Just copy the registration link and send it to all the contacts you'd like to register for your event/collection.

In case you know the exhibitors/suppliers that will be participating/register for your event/collection, you have 2 possibilities:

  1. If you have less than 50 Exhibitors/Suppliers: Add them to the event/collection by clicking on Add exhibitors, directly from Bottlebooks. More information here:

  2. If you have more than 50 Exhibitors/Suppliers, you can send the exhibitor/supplier list to your Project Manager at Bottlebooks to upload it for the collection. The list should in an Excel file and should include:
  • Exhibitor/Supplier: name of the Company responsible to enter the product information
  • Contact: Name and email address of the person in charge to add the product information

Now that all the exhibitors/suppliers are added, you can send out the link to the registration. We usually recommend sending out at least the first email from your email address. Here you can find how to get the registration link.


We also recommend sending out at least one reminder a week to all the exhibitors/suppliers in order to get more responses from them. You can send target messages directly from Bottlebooks. More information here:
